Dark Matter R&D ("Dark Matter," "we," "us," or "our") builds custom data, automation, and AI systems. We collect as little personal information as possible, and this policy explains what we collect, why, and the choices you have. It is written to meet our obligations under Canada's PIPEDA and Québec's Law 25, and to respect the rights of visitors from other jurisdictions.

01Who this applies to

This policy applies to this website and to enquiries you send us through it or by email. It does not apply to third‑party websites we may link to, which have their own policies.

02Information we collect

Information you provide

When you contact us through the form or by email, we receive the information you choose to share — typically your name, firm or organization, email address, and the details of what you are looking for.

The contact form on this site does not store anything on a server. Submitting it simply opens a pre‑filled message in your own email application; the information reaches us as an ordinary email that you send, and is handled like any other correspondence.

Information collected automatically

Our website host records standard technical logs needed to serve and secure the site — for example your IP address, browser type, the pages requested, and the date and time. This site sets no cookies and runs no analytics, advertising, or tracking of any kind.

Third‑party resources

The site loads typefaces from Google Fonts. When your browser requests these, it may transmit your IP address to Google, governed by Google's own privacy policy. We use no other embedded third‑party trackers.

  • To respond to your enquiry and have a conversation about your needs.
  • To scope, propose, deliver, and support work you engage us for.
  • To keep ordinary business records of our correspondence and engagements.
  • To operate, maintain, and secure this website.
  • To comply with legal and regulatory obligations.

We do not sell, rent, or trade your personal information, and we do not use it for advertising.

04Our basis for processing

We process your information with your consent — given when you choose to contact us — and on the basis of our legitimate interest in responding to you and running our business. Where another legal basis is required (for example under Law 25 or, for visitors it applies to, the GDPR), we rely on the appropriate basis and honour the corresponding rights.

We share personal information only in limited circumstances:

  • With service providers who help us operate — such as our website host and email provider — who process it on our behalf and are bound to protect it.
  • When required by law, or to establish, exercise, or defend legal claims, or to protect the rights, property, or safety of any person.
  • In connection with a business transfer (e.g., a merger or acquisition), subject to this policy.

06Where your information is processed

We are based in Québec, Canada. Some of our service providers (for example website hosting and email) may store or process information outside your province or country, including in the United States. Where information is transferred across borders, we take reasonable steps to ensure it remains protected by a comparable standard, and it may be subject to the laws of the jurisdiction where it is held.

07How long we keep it

We keep enquiry correspondence only as long as needed to respond and to meet legitimate business and legal record‑keeping purposes. When information is no longer needed, we delete or anonymize it.

08How we protect it

We use reasonable technical and organizational measures appropriate to the sensitivity of the information. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

09Your rights

Subject to applicable law, you may:

  • Ask what personal information we hold about you and request access to it.
  • Ask us to correct information that is inaccurate or incomplete.
  • Ask us to delete information we no longer have a basis to keep, and withdraw your consent.
  • Under Québec's Law 25, request de‑indexing and the portability of information you provided.

To exercise any of these, contact us using the details below. You also have the right to complain to a regulator — in Canada, the Office of the Privacy Commissioner of Canada or, in Québec, the Commission d'accès à l'information du Québec — or to your local data‑protection authority.

10Children

This site is intended for businesses and professionals and is not directed to children. We do not knowingly collect personal information from minors.

We may update this policy from time to time. The "last updated" date above reflects the current version, and material changes will be posted on this page.
